Asistian lets you accept appointment bookings directly inside customer conversations — no separate booking page required. Your AI assistant handles the scheduling automatically, collecting the necessary information and confirming the time with the customer, even when your team is offline.

How appointment scheduling works

When a customer asks to book an appointment through WhatsApp, Facebook Messenger, or Instagram Direct, the AI assistant takes over. It asks for the relevant details — such as the preferred date, time, and type of service — confirms availability, and books the appointment without any manual input from your team.
Your AI assistant can schedule appointments around the clock. Customers can book at 2 a.m. on a Sunday, and the appointment will be waiting in your calendar when you start work the next morning.

Using the AI assistant to book appointments

The AI handles the full booking flow inside the conversation. To enable this, configure your assistant with instructions that describe your available services, your operating hours, and any information the customer needs to provide when booking.

Open your AI assistant’s settings and describe your appointment types, available days and times, and any questions the assistant should ask before confirming a booking.

Activate the assistant on your channel

Make sure the assistant is assigned to the WhatsApp, Facebook, or Instagram inbox where customers will be requesting appointments. See AI Assistants for setup details.

Test the booking flow

Send a test message requesting an appointment to confirm the assistant collects the right information and confirms the booking correctly.

Google Calendar integration

Asistian supports Google Calendar integration so that appointments booked through the platform appear directly in your calendar.

Go to Integrations

Navigate to Settings → Integrations and select Google Calendar.

Authorize access

Sign in with your Google account and grant Asistian permission to create and manage calendar events through Google’s OAuth process.

Select your calendar

Choose which calendar should receive appointments booked through Asistian. You can use an existing calendar or create a dedicated one.
Google Calendar integration is subject to Google’s Terms of Service. You must authorize access through Google’s OAuth consent screen before appointments can sync.

Viewing and managing appointments

Once appointments are booked, you can view and manage them from the Appointments section in Asistian. From there, you can see upcoming bookings, the associated contact, the channel where the booking was made, and any notes collected during the conversation.
See all confirmed appointments sorted by date and time. Click any appointment to open the associated contact record and conversation.
Connect Google Calendar to give your whole team visibility into the appointment schedule, even if they don’t log into Asistian every day.
